"Hyland OnBase is a great Enterprise Document Management System"
What do you like best about OnBase?

We are using Hyland OnBase on an enterprise scale, and we are very happy with the system (OnBase) and the vendor (Hyland). The system is stable and easy to maintain. Compared to other systems and vendors, there is a decent amount of documentation available. The vendor is also very responsive to support cases.

OnBase comes with a vast set of features. Beyond document retention (which it does well), it comes with many added features like Workflows, Workview, and many more that can immensely help an organization. OnBase is definitely more than just a document retention system.

One of the nice things about OnBase is the administration. Hyland offers most features as “clicks not code” so that administrators with less technical experience can still configure the system. In many places Hyland also offers the possibility to tie into the power of scripting to enhance the functionality that is accessible out of the box. This strikes a nice balance between ease of configurability and increased flexibility.

What do you dislike about OnBase?

This is really just personal preference, but I would love it if OnBase supported Linux hosts.

What problems is OnBase solving and how is that benefiting you?

It is helping us organize documents and forms, manage retention, and many of our processes are handled in OnBase workflows.

What do you like best about OnBase?

The ease of use and adaptability of OnBase is very beneficial. There are so many options avaiable it is difficult to not be able to configure a solution. OnBase has allowed us to automated several manual processes which is a cost savings for our institution.

What do you dislike about OnBase?

The documentation could be improved upon. There have been instances where the documentation did not contain all aspects of the needs and/or setup or even available. It is not always easy to know what documentation is required or where to find the information within the documentation published.

There is no longer a clear understanding of what is handled by technical support and what requires their billed professional services.

What problems is OnBase solving and how is that benefiting you?

OnBase is used throughout the credit union. When automating processes, OnBase reduces the repetitive tasks which allows the staff to concentrate on the more critical issues. OnBase also provides an audit trail on processes by compiling data from multiple systems into one process. Having one system, OnBase, provides a centralized location for all relevant documentaton needed.

What do you like best about OnBase?

Great tool to easily store and retrieve business documents. Workflow and Unity Forms make it very easy to standup powerful applications in a short amount of time.

What do you dislike about OnBase?

Configuration interface is a thick client that needs to be updated. Some configuration features are limited and should be expanded to reduce manual entry (e.g. security keywords).

What problems is OnBase solving and how is that benefiting you?

OnBase is an excellent document repository that allows secure access to documents from anywhere - anytime. This changed the way our bank does business and helped especially during COVID. Also, Workflow and Unity Forms help to streamline our business processes while providing a window into the status of an item at any time

What do you like best about OnBase?

It is very helpful especially on searching and uploading of invoices. We can check easily the status of the invoices through onbase.

What do you dislike about OnBase?

You will put to the start again whenever your internet messes up. The app will close and you need to restart again espcially when I am uploading or importing pdf files.

What problems is OnBase solving and how is that benefiting you?

It benefits me in a way that I can easily see the status of the invoices also if there is an issue with the invoice we can make a note and route to the person assigned.

OnBase is a robust storage solution that has so many additional features and functionality that is finds way to help out with most of the problems the organization faces.

What do you dislike about OnBase?

OnBase is a very strong product that can offer many different solutions but with all its functionality it can be complex to set up.

What problems is OnBase solving and how is that benefiting you?

OnBase is solving many issues for our organization such as automation of time consuming tasks. It's ability to mass import documents via a plethora of ways allows for the end user staff to focus on more complex job functions.

What do you like best about OnBase?

OnBase is an overall GREAT software application! The capabilities available in Workflow and Workview are incredible for automating manual processes !!

I have been in Information Technology for over 20yrs, and the Customer Support I receive from Hyland is FAR better than any other software vendor I have ever worked with.

What do you dislike about OnBase?

I don't have any dislikes for OnBase. I've worked with the product for almost three years, and I am grateful to be on this team!

What problems is OnBase solving and how is that benefiting you?

We have a subsidiary that is using OnBase for their invoicing, as well as their travel and contracts. Our Corporate Finance, Legal and HR all utilize OnBase for automating requests and approvals. Our Information Security team is using it to manage their File Transfer process. We are getting new requests from all areas of the company to automate manual processes.

The versatility. OnBase is a highly-configurable content & process management solution that can fit into nearly any enterprise ecosystem. The content management core is robust, and the array of additional tools and modules offered build on top of it in such a way that it can fit almost any business process need imaginable.

What do you dislike about OnBase?

With the number of modules and configurability on offer, it's possible to get lost in the technical weeds when fine-tuning the solution. Making the most of OnBase's integration capabilities requires knowledgeable software developers. This need is lessened if your organization has an investment in other solutions for its industry which OnBase has first-party integrations with.

What problems is OnBase solving and how is that benefiting you?

We leverage OnBase for records management and retention across multiple business units. Its document storage, classification, and retrieval capabilities supplement multiple line-of-business systems to assist with information sharing across the enterprise. We also leverage OnBase's Electronic Plan Review module to supplement our permitting and licensing solution, enabling quicker turnaround of development project reviews. OnBase's Agenda Management module allows us to live-stream, archive, and cross-reference content for our public boards and commissions.

OnBase platform is very flexible for implementing complex Insurance solutions. It helped to implement the scanning and document ingestion needs. It also helped to implement secure document management needs. OnBase facilitated the document distribution needs.

What do you dislike about OnBase?

There are no significant dislikes from a usability and functionality perspective. There are areas of improvement for administration and change management as well as change migration.

OnBase solved document ingestion problems through scanning, MFP, email, and ad-hoc upload. OnBase helped with the implementation of secure storage of document repositories. OnBase facilitated display and distribution of documents.

OnBase provides a single point of access for documents within the organization and is a launch point for workflow management related to documents.

The only challenge I see is making sure to stay current with the capabilities of the solution to ensure you are getting the maximum value from the software.
