I love that I can customize when to work so much. I can change the schedule, which workers it shows, who gets what permissions, and what types of jobs people can do! I also love their report feature. I was able to estimate my department's budget for student worker funds to the dollar. It's useful for so much and very underrated, in my opinion. Students can also request vacation time through the program and personalize their availability; however, if I need to have control over their availability myself, I can take away that permission.
I get very frustrated with the "future repeating weekly" and "date specific" options for availability. I don't see those specific types of availability until the actual day they happen, so if I'm scheduling ahead, it makes for a huge mess. I have had to tell my students specifically not to use those options. They just cause headaches. I personally also wish I could turn off the "dislike" option for availability. I would prefer only to know when they can work and when they can't. I treat dislikes as a time they cannot work since I've had so much trouble with it in the past.
When you start using when to work, I strongly suggest creating a dummy employee account to test and see things from their point of view. Try using the "future repeating weekly" and "date specific" options in availability and see how it affects your scheduling. Make full use of the employee profiles and reports you can create. You can also connect when to work to your google calendar or download the app to get push notifications when a schedule change or a shift goes up on the trade board.
I have used when to work to create desk schedules that eliminate gaps in coverage. I have also used it to keep contact and emergency contact info on workers. It includes the date they started working with us, which is very helpful. I've also used it to gauge how many hours we will need to cover and pay for in a fiscal year. Being able to schedule ahead and make reports based on hours and pay has helped with budgeting in our department.

Because of its group function, I have the option of looking only at the schedules of the employees I manage, without having to sift through dozens and dozens of other names. It's also easy for me to make another group if there's ever another need for it. This software isn't just great for administrators either. It allows employees to see not just their schedules but the schedules of co-workers as well. This lets them take responsibility and accountability for their scheduling since they can see who is available and who isn't.
CONS: They can really improve on the way schedules are put in. Only people with specific access can input schedules for an extended period, and if you don't have that access you'll have to provide entries on a week by week basis. I think it would be good for everyone if they made this function available to all rather than have it be restricted to people given full access to the software.
PROS: This is a simple but very useful tool. It allows me to create multiple work shifts with specific details and reminders, properly organize our groups, seamlessly use multiple levels, and simply switch colors among other functions. Data from this app can be exported into CSV format as well.
CONS: It is difficult to delete or edit multiple shifts on this app. That’s the only problem I can point out.
The most helpful part of When to Work is the ability to see all of my assigned shifts and important messages from my boss in one place. I am always able to tell exactly when I need to work and what my boss wants me to know in just a few taps. This truly is one of the best apps for workers in any company, large or small. When my boss sends a message, I am able to quickly find it after I am alerted via email or phone notification.
My least favorite part of When to Work is the amount of menu screens it has. It tends to "hide" things under 3 or 4 menus that are not always the easiest to navigate. To find open shifts to pick up, for example, I have to go through 4 different screens until I am able to pull up the date that I want. This can become very annoying after a while as I need to check my shifts rather often.
If you are looking at WhenToWork, my advice to you is to consider how much you value efficient organization within your company. If you value it very highly (as most companies do), this service is definitely for you.
Previously, I did not always keep the most accurate calendar for my work shifts. However, with When to Work, I am always able to tell exactly when I am schduled to work, and my boss can instantly update my shifts with a few clicks. I am even alerted by email whenever my boss makes a change to my schedule, so that I can ensure I am scheduled for the correct dates and times. The benefits that I have realized include easy scheduling and organization.
PROS: It is an easy to use scheduling app with a clean interface and excellent mobile accessibility. It helps me easily determine upcoming working schedules, hours I’ve already worked in a week, as well as easily see if shifts are available on my vacant time. The app also notifies when my schedule is ready or if it is changed. Moreover, it conveniently shows available shifts to take, so I can easily grab one when possible.
CONS: It becomes quite difficult to use when too many shifts are up for grab on the board. The trade shift-tab looks too messy and hard to navigate. Fortunately, this happens only in rare instances in our company.
