Visual Vault has completely changed out mail processing for the better. The fact that is houses all of our mail in one place and allows us to sort and distribute as necessary makes our mail process much more streamlined.
Having a desiganted team to collect, process and upload our mail has been wonderful. They are very communicative and respond to our inquiries quickly. They also have been great at addressing requests to improve our process.
Having to manually name/rename mail once it is uploaded is a bit time consuming.
Visual Vault has centralized our mail processing system.
Easily customized dashboards give me a view of the exact data that I need, and the iForms allow us to build custom forms easily and quickly.
The UI feels a little old. some solutions require more custom development than I'd like.
Previously, I had to access four different systems and manually pull data from each. The workflow automation capabilities reduce the manual work associated with many business processes.
The reporting functionality is very robust. Able to adapt the system to meet varying needs from different programs and services.
Importing Data from one system to another is a little more complicated. Items have to be organized very specifically.
Expanding Reporting to encompass more data within the system.

Some form links do not work.
The value of a form stamp field can not be saved correctly.
Document management
Global search for a specific word in a document.
I do not have a specific dislike for VisualValut.
it VisualVault is most helpful in document retention.
Storing sensitive employee documents, it's nice to be able to locate an employee and view all of their signed Onboarding documents from Avature.
Right now, we're finding that many candidates documents are not automatically being exported from Avature to Visual Vault. Visual Vault is currently looking into this issue.
Additionally, there's not an easy way to search an employee record other than click on the employee's first letter of the last name and going through each employee to locate the correct employee. It'll be nice if there's search feature to quickly search and locate an employee by either the employee's name or employee ID number.
It is our employee's secure file repository
Both have very good open APIs making integration very easy.
A developer has to do the work. Need more GUI components.
Entering data once, one source of truth that everyone agrees upon.
It is easy to use and very responsive customer support.
The security on the web access is questionable. No MFA and password does not expire.
Digital Record Management
The folder structure of Visual Vault is easy to use, managing users and security works well, the link between hardcopy scanning/holding with GRM and seeing it on VV is really the biggest value.
Having to pay monthly per user is a high cost and doesn't match the current industry standard of unlimited users, as well as having to pay monthly for the capability to upload our own documents to VV with OCR (ability to be searched/copied and pasted). As things become more and more electronic and hard copies become more obsolete, this should be a functionality included in every competitive electronic document management platform. We pay $500/month for this capability (for very low volume) which is outrageous. Most of all, not having the ability to easily bulk download documents from VV is by far the biggest issue. I am aware that this functionality somewhat exists but A. it costs extra money ($5K configuation fee and $500/month) and B. users have to download third party software to be able to use it. Both of those things are unacceptable as the included ability to natively bulk download directly from the platform is industry standard at this point. Without these very common and necessary features VV is not a product I could recommend.
Being able to see our scanned hardcopy documents on an online database is very valuable. This is the number one reason we use VV
