Ombud eliminates 90% of administrative hassles associated with RFP responses, especially tracking what team members are assigned to tasks and how projects are tracking towards completion. Product support is extremely responsive and friendly--always there to help.
The manual upload process can be slightly confusing, but the product support team does an incredible job of quickly stepping in to either manage the upload directly or assist as needed.

When I was new to the team, Ombud allowed me to retain the information and help answer the Security Questionnaires and RFPs. Not only was it a tool to respond to customer questionnaires and RFPs, it was like a study guide to learn about the company products. It became my go-to knowledge base. The Ombud team always has a quick turnaround when uploading the documents and questions.
Honestly, it is hard to find a dislike or something that is least helpful with Ombud.
If I had to pick one thing, it would be the conditional responses on portals. There are times when there are so many conditional responses, Ombud is unable to pick them up and upload it.
There are commonly asked questions that are easy to input with Ombud when adding them to the Reference Documents. It also helps when we can look back and cross-reference a questionnaire/ RFP that we are working on with previous ones.
Ombud makes writing RFX responses a breeze! With their import wizard, we can easily build a compliant response document in seconds. Using the response library allows me to quickly search previous responses that may align to the current question, and, if necessary, quickly adjust the response to fit the current request. Exporting the documents in standard formats takes the guess work out of creating a polished, ready to send document.
There are a few workflows with the right tray that aren't very streamlined. When assigning a question or section I wish the options had easier to set defaults for the current document. For example, use a check-box to 'Remember This Person' or something to quickly find users to assign to.
The lengthy time to respond associated with historical RFX responses.
OMBUD provides a very well-judged feature-set that is powerful and intuitive with a very low barrier to adoption. I can get new sales / presales colleagues ramped within 30 minutes and the crowd-sourced content management means that every time the system is used, value is added. The customer support is out of this world, too.
One area of opportunity for OMBUD is in multi-language / multi-culture support. There are adequate and effective workflows to get around this currently, but something more 'native' would be even more advantageous.
Invite OMBUD in, let them lead the way and uncover the art of the possible. Be realistic about what your ROI is based on and who the stakeholders are.
We use OMBUD to single-source the completion of RFP and Infosec questionnaires. Every stakeholder reports a minimum of 50% time saved, with the advantage of being able to surface relevant and up-to-date content.
Product is excellent, we utilize it for RFPs, Security Forms and our SOW process. The ability to manage and reuse responses and content is a game-changer for us. I reviewed many vendors prior to picking Ombud. The decision came down to who I felt best about working with. Ombud seemed to be more customer-oriented. It played out well for us. The support and service is class A. It is like having an external extension to my team.
Not much. We utilize it to create Statements of Work (SOW)s. We are stretching and twisting the RFP features to match our SOW workflow. Hard for me to find fault in this as it is self-inflicted and it has actually increased our SOW throughput. Ombud is actively working on advancing specific features that will enhance our SOW processes.
We are able to reuse curated content for more professional and efficient responses. Before we were reinventing the wheel in every response with quality dependent on the individual responding each time. Our consistency and scalability have increase significantly.

Ombud's ability to help find relevant answers from other RFP's and documents to quickly fill out RFPs, RFIs, Security Questionnaires, or even simple email questions from customers really helps our productivity and accuracy of information.
Many individuals on my team struggle with the interface for entering answers. It is difficult to visualize the format of the answer once it is output into the final document. For instance, the environment is able to add content rich datatypes, but the format in ombud does not always carryover in to the final document, whether it is in word, excel, etc...
This is a no brainer. You will drive more efficiency and better quality with your RFx's
Ombud allows us to respond to questionnaires in hours as opposed to days, and the accuracy of the information is easily governed to lessen incorrect information from getting out
Ability to maintain our reference content in a system that is used by nearly every member of our sales organization.
Granular searching can be a challenge at times; however, this will be changing drastically with Ombud's future updates to its search capabilities.
I would highly recommend looking into Ombud's roadmap to see what they're doing in the next few months. New feature set and search functionality is truly mind-blowing.
We previously stored reference content in giant Word documents which cause a plethora of headaches. Since moving to Ombud, all of those problems have disappeared.

The Show Suggestions feature and subsequent search bar that appears feels like magic compared to the way we used to respond to RFPs. If you build your Reference content with good key words and give the machine learning a little bit of time, the questions practically answer themselves.
Beyond that, the Search bar and Filter tools are helpful for users who are not as familiar with Reference content, as well as for questions that are more specific and warrant a search of past RFPs. One co-worker described it as an internal Google, which I have to agree with!
There are occasionally minor formatting glitches when working in a section or response (mainly bulleting and URLs). It’s not as smooth as working in Microsoft Word, but it seems like Ombud is aware of this and making improvements with each new release. Their Support team is also incredibly responsive.
We are saving huge amounts of time with Ombud’s content reuse capabilities. Our content is also more organized and searchable than ever before thanks to tagging. Finally, friction during collaboration with other departments/SMEs is reduced significantly thanks to the Tasks feature at the Question level.
