I think one of the best tools built in to Docuware is the forms. I have created many internal forms and some customer facing ones. This allows us to collect data from clients that we need to be at our Best. We are a mid sized Office Equipment dealer and we use these features for many facets of our business. We make network survey forms that allow us to get the info we need to configure the machines before delivery. It makes for a smooth transition when swapping out machines. We recently made Customer referral forms as well where customers we recently did business with us can refer someone they think might be interested in our products and services. The usefullness of this product is limitless!
There aren't many things I don't like about Docuware, but the learning curve can be a bit much for some people. Granted, they do offer their university to learn their products, but it may be challenging to some people as it is technology based skill building. I have a Bachelor's Degree in Networking and Telecommunications and I still find some of the subject matter challenging. The plus side to all of this is that their support is unwavering and very helpful.
Documents are going to the proper people in our organbization using workflows. Users are bing notified that new documents are there for processing. Information is being processed quicker than it ever has and we always know the right people have the documents they need. Delegation, excuses, and I forgot have been removed from equation and productivity is at an all time high.
DocuWare's layout is very simple which contributes to the platforms ease of use and fast adoption rate.
It has the necessary integration with email, office etc as well as search capabilities to allow me to continue working in the application I am in (i.e. email, ERP, HR, Office) yet still store and go find documents in DocuWare quickly and easily.
It does an excellent job indexing information from documents and then leveraging that information to kick off a workflow or simply making that information available to upload into other systems.
DocuWare is a blank slate so while one could set it up on their own I would recommend having a professional Service engagement do the implementation. DocuWare can handle very complex workflows and so it is best left to experienced professionals. That being said it is quick to implement
It does take time to learn how to administer and build out new workflows. However, that is true for any application so I don't consider it a big deal.
Right now we are using it to store a variety of diffent document types in a central place so the entire team can find and reference them as needed.
The best thing about DocuWare is when things are labeled correctly, I can find any document with the metadata and/or full-text search across 25 locations, 5 business units, and 900 employees. It is the ultimate self-service for pulling employee records, sales contracts, maintenance agreements, statements of work, or anything, for me, going back 18 years. For the folks importing and labeling documents, there are integrations and on-ramps making import simple and between intelligent indexing, click, indexing, OCR, AutoIndex, and workflow capturing your metadata is quite simple and easy. I use DocuWare quite literally every day.
In 15 years I haven't identified a downside that hasn't been addressed over time.
Initially, the problem we were solving was streamlining order processing. We were creating multiple copies of thick order packets in 2005-06 and at that time we were very regional, but as we opened offices that people weren't driving between everyday or even weekly, it became a major slowdown to process orders. By implementing DocuWare we are able to have control and transparency of the process from the time it is submitted, thru order processing, lease approval, purchasing, shop, logistics, and delivery to the customer. By having this kind of insight, collaboration, and parallel processes we were able to reduce our Order to Cash cycle by about 50%. In addition to Order Processing, other departments have adopted DocuWare over the years leading us to be 100% paperless. Anything that is a business record has a place to be archived in DocuWare
DocuWare is easy to use and is very secure.

DocuWare helps with storing large volumes of documentations in a secure way. It is easy to train new staff on how to use it correctly.
We like DocuWare's ability to efficiently store (paper or electronic) documents, streamline processes and reduce paper. The intelligent search function makes it easy to quickly find any file, which saves valuable time. In addition, integration with other systems, such as ERP and CRM, improves interdepartmental communication and information management. Finally, remote access and real-time collaboration will improve efficiency, allowing you to work more agile and respond quickly to the company's needs.
Like any document management system, setting up the workflows can be difficult at first, but once you get used to the new vernacular it's great.
Being able to process line items on A/P invoices has been a big time and money saver when processing invoices.
Ease of cloud deployments. Pricing model for clients in the cloud. The Intelligent Data Capture solutions. Ease of basic configuration.
Worklfow does not have enough built-in actions or rules. It requires too much scripting. Pre-configured cloud solutions are not transferrable to on-premise.

I love how user-friendly the interface is. The capture and indexing with their intelligent indexing are very accurate. Once the workflow is built, it's a very easy process for users and approvers to complete tasks. Being able to integrate with current systems and customizing the platform to fit our needs is very important. The system is used daily to complete multiple tasks. It was very easy to implement into our organization. And if we have any issues we have a direct line to Support.
If I could think of one downside, it would be the limited offline functionality. Even though the platform has a mobile app, it is challenging sometimes to work with documents when off-line. This is a situation that rarely happens.
We use the platform for our accounts payable, forms, and submitting sales orders.
