ContractSafe was the best platform we didn't know we needed! It is so user friendly, and a very viable option to manage all your contracts and related info. My team is thrilled with the roll out of ContractSafe and happy to be modernized in our contract management.
There are a few settings I would like to see added, but nothing that is a deal breaker for the platform.
It solved our issue of access. Previously we were accessing contracts through an internal drive and it was quite cumbersome if you were away from the office. We are now able to access the information from our phones or laptops no matter where we are. Even at the grocery store! haha
I just like that Zachary walked me through the site until I felt comfortable using it alone.
So far, there isn't anything that I can say that I don't like. It acts like a database.
It holds old and new contracts in one place.
I like that it organizes all of our contracts, MOU's and other correspondence for all or ou programs in one place. We are a complicated clinic with many streams and Contract Safe helps me keep track of all this in one place.
Also, the customer service is great. I have never been dissappinted with the help I ask for.
We also really like that we can give access to all people who need information from our contracts a ta moments notice.

Contract Safe allows all users who need information from a contract log in and get the information they need instead of contacting me and asking for the information, it is right at their fingertips.

Legal uses ContractSafe for whatever Legal does with Contracts. However, our Global Employee community needs specific information about which Customers have or don’t have a specific type of Contracts with us. In the past, if someone needed to know this, they would have to contact Legal. Someone in Legal would have to drop everything, look up the information, and reply to the request with a simple Yes or No. This caused disruptions in the workday for Legal and, depending on circumstances, significant delay in servicing our Customer. Working with ContractSafe’s Customer Success Manager, Development Team, and Sales Manager they were able to orchestrate a couple of changes to their product so I could provide an efficient, secure, and self-service solution to our Global Employee community, all without breaking the bank.
We use ContractSafe for their stellar organization and user friendly interface. I love the Tags feature, as it allows us to group contracts in a myriad of ways that suit each of our department's needs. It is also very intuitive to use, which helps when we have staff of different skill levels. The feature of having a unique email address to send the contracts to for auto upload to the site is also a fast and easy way to capture contracts across our agency without having each user login.
I am hopeful there will be increased functionality in the future regarding reminders for additional contract items. Currently there is a great reminder feature for a contract's expiration, but we also track license expiry and it would be great to use ContractSafe for that as well.
The list of problems with our old method of storing contracts on our agency drive is vast:
-A comprehensive list of contracts was not possible without significant administrative burden
-Departments couldn't find relevant contracts, either due to location title etc
-Contracts expired without awareness
-Quickly viewing active dates of contracts was difficult
-Amendments were haphazardly stored and not tracked
-Report pulling was not possible; manual counting of contracts etc was required for reports
-If the file path was too deep in the Drive the file couldn't be opened until dragged to a desktop
-Titles, dates, and other text within a document could not be searched; manual opening of folders in locations was often required
-Sometimes contracts were inadvertently moved to different locations
-Single contract documents were often disparate and stored as separate, editable files
When researching contract management platforms, we needed a system that would meet these needs:
-Cloud based, to avoid the need for software install/ lengthy approval via our state IT system
-Accessible by many users, with different permissions per user
-Ability to pull reports and gather data on several contract pieces
-Automated reminders of expiration dates
-Ability to store contract related documentation, such as licenses etc.
As a new customer I was blown away by the support provided to help us set up our account and train us to use it most effectively.
Only downside I have seen so far is how "inactive" contracts still count toward teh subscription number.
Contract Safe provides us a cloud-based central repository for our contract agreements that allows access by multiple departments/staff and allows for contract summaries to be quickly viewed by all.

The default views when you click into a folder do not automatically default is a saved/preferred view. Have to then select your "saved/preferred" view which is not intuitive.

Very clean software and user-friendly! Easily customizable and can find contracts without issue. Several new features have helped improve efficiency. Have not used other products similar but can say that this one is very effective with a great support staff.

The reminders are very useful to help us remember key dates that are coming up. Additionally, reports based on custom views can be scheduled to be sent out at set intervals, which is a very useful feature. We did demo's with several different companies before deciding to go with ContractSafe. For the functionality that is provided, the price is great. Plus, you get unlimited users, while most of the other platforms charge per user. The company is very transparent and straightforward with pricing and functionality offered. They've been great to work with.
We're still figuring out the best way to organize documents (tags v. folders), but think we have landed on a system of a combination of both. Additionally, I'm looking forward to another feature that should be rolling out soon where certain fields can be linked to specific parts of the document. This is a feature that looked very useful in other platforms that were more pricey (but not worth the price differential), so I'm excited for this roll out. On that note, I think their team is open to suggestions and are committed to continually improving the platform.
Contracts were previously stored in various locations on our internal servers, people's inboxes, etc, and it was uncertain what contracts were in place. This is helping us to manage the contracts in a central location, summarize key info on contracts, and set up reminders so we can evaluate whether to keep contracts before they automatically renew.
