The most significant upside is removing those tedious, monotonous tasks from the bookkeepers and having them become actual account managers focusing on high-level tasks, quality control and working more closely with the clients in other areas besides bookkeeping.
There are a few minor things within the system (that doesn't affect the overall work) that could be improved, but it's still a growing company, and I have faith in the product roadmap that they will be addressed.
Our firm is growing so rapidly that we needed to offload tasks to Botkeeper to continue taking on clientele without adding to our labor cost. So far so good and we are excited to keep scaling with Botkeeper!
BOTKEEPER WILL CATEGORIZE AND RECONCILE OUR COMPANY FILES IN A TIMELY AND CONSISTENT MATTER. IT TAKES THE COMPONENT OF NEEDING TO RELY ON YOURSELF OR STAFF FOR TIMELY OR ACCURACY. IT TAKES THE TIME-CONSUMING WORK TO LET US ADD MORE VALUE TO OUR CLIENT'S BUSINESSES.
THERE IS STILL A SMALL LEVEL OF NEEDING TO UPLOAD SOME BANK STATEMENTS OR MAKE SURE LINKS ARE CURRENT. WHILE THIS IS NOT TOO TIME-CONSUMING, IT IS EASY TO FALL BEHIND A FEW MONTHS.
STAFFING HAS BEEN A CHALLENGE IN TODAY'S CLIMATE. HOWEVER, THERE IS AN OPPORTUNITY TO HELP AND SERVICE SMALL BUSINESSES. WHILE THE CATEGORIZATION AND RECONCILIATIONS ARE NECESSARY, IT DOESN'T PROVIDE AS MUCH VALUE AS BEING ABLE TO ANALYZE AND CONSULT WITH THE BUSINESS OWNERS, SO THEY UNDERSTAND FROM AN ACCOUNTING STANDPOINT HOW THE COMPANY IS PERFORMING. BOOTKEEPER ESSENTIALLY IS SERVING AS OUR LOWER STAFF TO DO THE WORK. IT IS ALSO MORE RELIABLE AS THE CATEGORIZATIONS ARE BASED ON PRIOR TRANSACTIONS OR REFERENCES FROM OTHER SIMILAR COMPANIES.
Botkeeper is an accountant's dream come true. All those tedious tasks like updating bank accounts and reconciling are done without much help from you or your staff. They offer year-end tax write-ups as well so those clients that come at the end of the year with a pile of statements, just charge the client a small fee and let Botkeeper do the work. Welcome to the future of accounting.
Sometimes the connections with the banks break and it takes time to reconnect them but that's not Botkeepers fault (most of the time it's Amex). Seems to be more of a security issue than anything but it would be nice if it didn't happen so frequently.
We had too many clients and not enough employees. Botkeeper took a majority of the day-to-day work so we could concentrate on the human touch of the financials.
I like that the platform is very user-friendly and that everyone gets notified when you upload documents. They are also very efficient. The platform is always finding way to make it easier for the partners.
The software sometimes lags and when you upload documents the pdf does not show the transactions in the bank statements. I would like to see improvements with updates.
They are helping us solve the bookkeeping stress. I have realized that we are able to have the information ready for our clients. Yes, it has because we have been able to take on more clients.

After having so many staffing issues our company was looking for a way to save time on our bookkeeping processes. After taking a webinar on CPA academy I connected with Botkeeper and in hindsight, I'm so glad I did. We started the process with Botkeeper over a year ago and had six employees. We were severely impacted by the great resignation (yes, it's real!) and lost over 40% of our staff in a one-month period. Had it not been for Botkeeper we would have been in a very bad spot. We service 60 monthly clients books with a staff of three (we are still understaffed) but Botkkeeper has been able to keep everything moving for us. If you are looking to automate your bookkeeping processes, look no further!
I really do not have any complaints about Botkeeper!
Staffing - We have always had staffing problems, either with hiring people that claimed to be bookkeepers or employee turnover, botkeeper has made this far less painful.
Automation - We spend about 25% less time on clients' hours (but we are not just a typical bookkeeping company, we have clients that call us for silly reasons like someone hacked their Facebook account and what should they do, LOL) If we were just straight bookkeeping the percentage would be much higher.
Botkeeper is amazing, we have been using botkeeper for a couple of months and it has saved us so much time on categorizing transactions. Botkeeper has allowed our team to focus more on the financial analysis and other client needs.
No downsides, everything has been great! Ourbotkeeper representative is amazing and is always there to help.
Botkeeper is classifying clients' transactions and reconciling the accounts, this gives us more time to focus on other clients' needs.
Eliminating transaction entry for our CAS team has helped open up their capacity to take on new clients. The management reports produced by the 15th of the month have been great for our clients!
The current portal is a bit dated, but I know great things are coming with BOS and we are excited to get upgraded.
The biggest problem Botkeeper has solved is opening capacity for our current staff. We have cut bookkeeping time significantly on clients we have transitioned to Botkeeper.
A couple of items -
1. I'm able to continue to grow our business with the same team in place while having time to search for the right people instead of just finding any one to fill the spac.
2. Prior to using Botkeeper, almost all of the accounting work required manual data entry and manual reconciliation. Botkeeper has taken that piece of the work off our plates and now allows my team to focus on reviewing and discussing financial results with our clients instead of always being in the weeds.
No complaints at this point. Botkeeper works closely with our team and keeps the lines of communication open so that we're all on the same page. We meet regularly with our Growth Partner for status update calls and to resolve any open questions and tasks. We also meet regularly with the product development team to provide feedback on current functions and features. The product development team also asks what other functions we might need that isn't currently offered.
Treat Botkeeper as a partner and not simply a service provider. The relationship between our companies has been great because we work closely with the Botkeeper team.
I'm looking to solve a few different problems. The accounting schools are graduating fewer accountants. The ones that they do graduate are entering the traditional audit and tax fields. That's making it harder to find good GL accountants. Once we find a good GL accountant, I prefer they work with clients to discuss financial results, processes, etc. instead of simply being data entry specialists. Also, as our company grows, I want a service line that allows me to continue to work with start-ups.
By using Botkeeper, I'm able to free up my folks to be more client focused as well as provide a service offering that meets the economic needs of a start-up business.

Botkeeper has provided a level of management oversight on their side that ensures accurate bookkeeping and data that gives back time to the Club Capital staff to focus on our crucial financial analysis work and meeting with clients. The hardest part of getting started with Botkeeper is the inherent change in processes. Not only is it a different process internally, but it is a different process for our clients. This being said, the Botkeeper team truly brings "all hands on deck" with their onboarding team to make the process as efficient and effective as possible as to not miss a beat in the monthly close process for our clients. While we need to have a heavy focus on the change in processes/platforms for our clients with additional work on our Account Managers and Customer Success Leads, its nothing more than you would have for any tech switch within the firm.
